What belongs in a progress claim pack before certification

Interim certificates move faster when the claim pack is complete on the first pass. Incomplete files force auditors to chase attachments while the payment cycle closes.

Core documents

Start with the current claim schedule matched to the bill structure, the previous certificate, and a variation register that uses the same instruction numbers as the contract administrator’s log. Add measurement sheets for packages with large quantity jumps, and delivery notes where materials dominate the month’s value.

Site evidence that helps

Floor mark-ups, dated photographs of completed trades, and gate logs for dayworks crews reduce argument later. They do not replace measurement, but they show whether a claimed activity occurred in the period.

Common gaps we see

  • Variations priced into the claim without a written instruction
  • Preliminaries increased without linking to programme change
  • Nominated subcontract adjustments missing the underlying certificate
